To get your Dolibarr instance ready for accurate documentation, reporting, and client communication, you’ll need to configure the essential details of your company or organization. This setup involves filling out information across four tabs: Company, Open Hours, Accountant, and Social Network.

Step 2.1: Company Tab

The Company tab is where you’ll enter primary information that will appear on all official documents (invoices, quotes, orders) generated by Dolibarr. Here’s how to complete each section:

  1. Company Name: Enter your full legal company name.
  2. Address Information:
    • Street, Postal Code, City: Fill out the complete address where your business is located.
    • Country and State: Select your country and state from the dropdown menus to ensure accurate tax rates and reporting.
  3. Phone Number: Enter your primary business phone number. This number will appear on customer-facing documents.
  4. Email: Provide the main email address for customer inquiries or official correspondence.
  5. Web Address: If you have a website, enter the URL here. This will also be displayed on documents for client reference.
  6. Registration Number: Enter any legal registration numbers required by your jurisdiction, such as a business license or tax ID.
  7. Fiscal Year: Specify the start and end dates of your fiscal year. This setting is critical for accurate accounting reports and fiscal compliance.
  8. Default Currency: Choose the primary currency in which your company operates. This will serve as the default currency in Dolibarr transactions.
  9. Logo: Upload your company logo for branding consistency on documents. Recommended dimensions are 200×200 pixels in .png or .jpg format.

Tip: Double-check all entries for accuracy, as this information will appear on official documents and communications.

Step 2.2: Open Hours Tab

In the Open Hours tab, you can specify the business hours when your company is open for operation. This is especially useful for clients and partners.

Daily Working Hours: Specify start and end times for each day of the week.

Example: Monday: 9:00 AM – 6:00 PM

Step 2.3: Accountant Tab

The Accountant tab allows you to store contact details for your accountant or bookkeeper, which can be useful if you’re working with an external accounting professional. This information can help your team quickly access the right contacts when needed for financial reporting, compliance, or audits.

  1. Accountant/Bookkeeper Name
    • Enter the full name or the business name of your external accountant or bookkeeper.
  2. Contact Information
    • Phone Number: Enter the direct phone number for your accountant or bookkeeper.
    • Email: Provide the email address where they can be reached for any accounting or financial inquiries.
  3. Certification or Registration ID
    • If your accountant is required to have a certification, license, or registration ID (such as a CPA number), include it here for reference.
  4. Additional Notes
    • Use this section to record any specific instructions or notes about the accountant’s role or tasks, such as their preferred method of contact, billing cycle, or additional services they provide.

Tip: This section is particularly useful if you regularly collaborate with external financial professionals or if you need quick access to these details during audits or reporting. Be sure to update it regularly if your accountant’s information changes.

Step 2.4: Social Network Tab

The Social Network tab is where you can link your company’s social media profiles to improve customer engagement and provide easy access for clients.

Note: By adding your social media profiles here, Dolibarr can include these links on customer-facing documents or in communication templates, boosting your brand’s visibility.

Once you have completed each of these tabs, click Save to update your company information. Your company profile in Dolibarr is now fully configured, ready to provide accurate information on invoices, quotes, and other documents.
